Features

Shifts and patterns

You can create your own list of type of shifts with their corresponding schedules (morning, afternoon, etc.), which you can afterwards use to do your employee's planning.

Patterns are shift sequences during a period of time. For example a very simple shift pattern will be 5x2: MMMMMLL (being M the abbreviation for Morning and L for rest day). However, patterns can be much more complex, by introducing several weeks rotations and being applied to several employees. Besides, you can create as many shifts and patterns as you desire.

Shifts’ schedules

Shifts’ schedules is the employees’ working hours schedule, and it is the most developed tool in aTurnos, due to it is the base of our system. In this table you can watch the arrival and exit hours, the location of each employee or shift, the overtime/complementary hours, etc. You can make as many modifications as you need straightforward thanks to its efficient and simple design.

Furthermore, from the Schedule tab, you can watch the shift coverage and position to identify at a glance deviations or deficiencies in plannings. You can check them in one click using the “search employee for a shift” which suggests you the accurate employee according to the restrictions.

Shift calculator

Calculator is the shift planning tool that calculates shifts or rotations depending on the staff necessity you indicate each day and shift. Moreover, calculator's algorithms take into account the team restrictions that you have created. This way, you can simulate and save plannings or shift patterns quickly.

  • Possibility of generating different calculations modifying variables such as annual hours or minimum of weekly breaks.
  • Table and coverage graphic visualization when obtaining the result.
  • Tools to modify the result before saving the simulation without changing the indicated initial necessities.

Employee data

From the employee’s profile you can establish the customized data of each user, convention and contract variables, specialties or the locations they may have. Employee’s data can be indicated directly in aTurnos, be imported from an Excel/CSV file or integrated by API or other systems.

Company’s structure

The structure configuration of aTurnos is very simple, and it is easily adaptable to the necessities of every company. The biggest title is “Company”, which is at the same time compounded by “Teams” , which can be also organized in “Locations”. In aTurnos, you can also create location's hierarchies, creating a hierarchy tree structure where in some locations depend on others.

Restrictions

In aTurnos we have more than 100 restrictions for carrying the legal control and employee’s individual necessities out quick and easily. Restrictions can be created individually to each employee, to a collective of employees (by category,location or specialty) or to all the employees of the team.

  • Restrictions about shift planning (e.g.: "A type of shift can't be worked")
  • Restrictions about breaks (e-g.: "Minimum of 12 hours between shifts" or "Minimum weekends off per month")
  • Restrictions about the demand compliance: it is about restrictions related with the automated planning feature.
  • Restrictions related to holidays and contingent permissions and bank holidays (for example, the most used is "Maximum of a type of absence per year" which can be established with a maximum of two days for the absence of the type personal permission).
  • Restrictions to limit the employee's maximums and minimums hours (regular, overtime or complementary).
  • Restrictions to limit requests and shift swaps to employees (for example: "Not being able to do a shift swap where it exists an overtime/complementary hour scheduled")

Bags of hours

From aTurnos, you can create bags of hours to control that employees won’t exceed the hours maximum they can make of each correspondent type (regular, extra or complementary). Moreover, aTurnos automatically recommends employees with more margin to make those hours and guarantee an efficient distribution between employees that compound the bag.

Bank holidays

Bank holidays can be added in aTurnos indicating a Zip code, through importing from Excel/CSV or adding them manually You can mark as special bank holidays and bank holidays that repeat annually if necessary. Moreover, bank holidays can also be created for all the teams or for specific locations. To conclude, in the team configuration you can indicate whether the bank holidays are worked or not, in such a way that corresponding hours estimations per work hours for each employee.

Integrations with other systems

The aTurnos’ system can be integrated with other systems in several ways. The main mean of integration is our API Rest (https://api.aturnos.com/) from which data can be sent and received from one system to the other automatically. This allows processes of employees management to be smoother and quicker.

Other two integration systems we have are Webhooks and Websockets. Both are calls made by aTurnos to other systems anytime a specific event occurs, with the difference that the second doesn’t require the maintenance of a server, but the channel is maintained open such as a browser or a screen.

Employees’ profile

To configure quickly common employees’ positions in aTurnos we created the profiles’ option. Profiles are configured with some specialties, which afterwards can be allocated to its corresponding employees.

Advanced coverage tables

Coverage tables are the following: Presence in shift, presence in shift per locations, presence in shift by demand, see other team's schedules and time zones

  • Presence in shift: it is linked to time control, it indicates how many people is working on each shift at the moment.
  • Presence in shift per locations: It indicates how many people is working on each shift and location.
  • Presence in shift per demand: It indicates how many people is working on each shift in comparison with the demand introduced.
  • See other team's schedules: with this option you can see the employees’ shifts of different aTurnos’ teams.
  • Time zones: This table offers an image of the quantity of people scheduled per timezone you have defined (grouping shifts per timezones in case you have multiple shifts).

Employee's tooltip

It is a drop-down menu that appear when the cursor passes over the name of the employee on the schedule. This summarizes the balance of hours and employee's holidays, as well as certain restrictions of bags of hours and holidays. The advanced tooltip allows having at a glance all relevant data to adjust correctly the employee's planning due to it is updated dynamically with any change on the planning.

Management process

Absenteeism and permissions management

Employees can request permissions, and administrators can accept or deny this request according to restrictions and the approval flow defined in the team. Administrators can insert absenteeisms directly in the employees’ schedule without the necessity of requests.

With absenteeisms’ restrictions you can control the convention permissions. For example you can establish "maximum days-a year" of a type of absenteeism (for example, a maximum of 2 days of moving out permission a year).

  • Establish de request flow for the employees to request the permissions they wish.
  • Control the convention permissions through restrictions.
  • Create types of absenteeisms and configure them according to your convention necessities and daily operation.
  • Create bag of compensation hours and/or bank holidays worked.

Holidays management

Employees can request holidays to be accepted by the corresponding administrators according to the defined team flow Furthermore, administrators can allocate directly holidays from the schedule. You can check the employee’s balance, approved holidays periods and profited holidays and pending to profit, etc., at the team statistics’ option as well as in the employee’s profile.

  • Establish the holidays request flow , so that employees can perform as many requests they may need.
  • Control automatically the holidays balance according to the employee’s contract
  • Find easily employees’ substitute during their vacation periods, thanks to the requests assistant.
  • From the schedule you can filter by “Holidays” so you can see whose of the staff are on a holidays period any time.

Requests and changes

Define the requests and changes flow to be a controlled process by the corresponding administrators, by restrictions, by due dates, etc. In aTurnos it exist several type of shifts swaps between employees: Shift switches, shift swap by a day off ( with the option of returning the swap) and shift doubling (with the option to return the swap). Thanks to restrictions, you can establish these swaps can only be made between employees without any other administrator intervention, guaranteeing legal control an position coverage.

  • Employees can perform request and shift swaps taking into account the flow established for created restrictions.
  • It exist several types of shift swaps between colleagues.
  • Notifications per role can be configured for each phase of the request and changes process.

Shifts and hours offers

You can offer shifts and hours to cover your work demands. Employees can sign up for the offers they are interested in and you can choose the candidates that suits the best to your needs for that shift or hours (regular, overtime or complementary). Furthermore, employees can activate an option to receive notifications every time shift or hours is offered.

Dashboard (Widgets)

From the home screen you can configure the shortcuts, relevant planning information and your team’s management. The widgets are customizable for each role type (employees and administrators) adapting the information each user necessities.

Bidirectional communication

In the different phases of employees’ management, you can establish always a bidirectional communication with the employees through comments in their requests, changes and schedule. This facilitates management processes empowering employees with the necessary information. Moreover, you can send notifications to your team from the bulletin board that will appear in the home screen.

Mobile app

aTurnos web app can be installed from app stores (App Store and Play Store), or you can download it from the following link: https://app.aturnos.com/. It is an environment more simplified than the web environment, but where employees and administrators can manage faster and more accessible.

All the employees and administrators request, swaps and offers can be performed in-app. Furthermore, it is the perfect complement to visualize the schedule and check any modification, request or new swap.

Export to payroll

Thanks to the crossing data, all the planning processes and daily management ( and time control), in aTurnos we count with more than 50 possible payroll concepts and also it is possible to create concepts based on calculations that already exist. This allows you to create your payroll template with the precise quantities and with the format you need.

You can check the information generated to payroll before exporting it to check possible errors and once the exportation is done, you can configuration the system so the schedules will close automatically and requests aren’t allowed, changes or any type of modifications from the past by employees or administrators.

The payroll exportation doesn't have to be manual, you can integrate aTurnos with your payroll system and configure the process to automate it.

Reports and statistics

In aTurnos we have predefined statistics based on most common necessities of our clients, between them there are scheduled hours and shifts, bank holidays, night shifts, statistics per locations, holidays statistics, etc. Furthermore, you also have configurable reports with the variables you need. These reports can be saved to consult it regularly without needing to select again the variables of your interest.

Automatic actions

Automatic actions will help you to automatize processes that are repeated in time and that result in a waste of time. It exists a big variety of types of automatic actions focused on different parts of the system, from requests and changes to recurring communications.

For example, you can establish an automatic action that allows you to decline shift switches or past request that hadn’t be managed by employees or administrators, guaranteeing that the request and changes list will always be updated. By contrast, using restrictions you can control the legal framework and personal limits of each employee, and you can create an automatic action that accept every request made by the employees in a determined period of time.

Documents management

Centralize all your employees’ document management Upload documents individually or collective to users, and collect proofs or other documents in your employee’s requests. You have 100MB per team, and you can hire more if you need so.

  • Access from any device (web and APP) in any moment so you can upload, download and see documents
  • Privacy and data protection You can establish different permissions for each role and type of document.
  • Historic register secure. Documents are stored in the system even though employees have been de-registered from the company. You have no longer to worry about damaged or lost documents.

Resources and work proofs

Create fields (from text, numeric, multi selector, single option, etc) that employees can complete in each shift they work. Employees can complete the form easily accessing to the schedule. You can check out all data collected to analyze or export it directly to payroll.

Legal control

Functionality only available with the feature of Time control

If you are registering the working days to your employees or if you add check-ins/outs from external systems you can check our report list predefined by the legal control that will allow you to analyze possible incidences from the real worked time from each employee. We dispose more than 16 time control reports focused on the legal frame.

You can check, for example, what employees hadn’t rested 12 hours between shifts or what employees aren’t having the pertinent rest to their shift and schedule. This will allow you to have the global legal control of all your company teams in a quick way.

In-APP messages

Configure message or notifications or inform employees of any type of incidence or change, or to convey a general message. Employees can see your message once you have logged in on the mobile app. For example, you can send customized Merry Christmas messages to your team’s users form aTurnos.

Home screen news

It notifies employees about possible changes or incidences, as well as other type of message in the web environment. This text will remain in the home screen the time you desire and employees won't be able to hide it. For example, you can send a recommendation message about using the ask in some company’s zones.
